Sending Agreements for Signature
Generate fee sharing agreements and collect electronic signatures.
Once a referral is accepted, VerdictFlow generates the fee sharing agreement from your template. This guide covers the signature collection process.
When Agreements Are Generated
Agreements are generated automatically when:
- You send a referral with fee sharing enabled
- The receiving firm accepts the referral
- VerdictFlow creates the agreement from your template
Alternatively, generate manually from the referral detail page.
Reviewing the Agreement
Before Sending
- Go to Referrals → find your referral
- Click to open referral details
- Click the Agreement tab
- Review the generated document
What to Check
- All variables populated correctly
- Fee percentage is accurate
- Firm names and addresses correct
- No formatting issues
Making Changes
If something needs adjustment:
- Click Edit Agreement
- Make text changes directly
- Save changes
- Preview again
Sending for Signature
Step 1: Initiate Signing
- From the agreement preview, click Send for Signature
- Confirm recipient information
Step 2: Configure Signers
Verify signer details:
Your Firm (Referring)
- Signer name (who will sign)
- Title
Partner Firm (Receiving)
- Signer name
- Title
- Email (auto-filled from firm profile)
Step 3: Send
- Click Send Agreement
- Notifications sent to both parties
- Status changes to Pending Signatures
Signature Order
VerdictFlow supports two workflows:
Sequential Signing (Default)
- First party signs
- Second party notified
- Second party signs
- Agreement complete
Parallel Signing
Both parties can sign simultaneously. Enable in agreement settings if preferred.
Tracking Signature Status
Status Indicators
| Status | Meaning |
|---|---|
| Draft | Not yet sent |
| Pending Signatures | Sent, awaiting signatures |
| Partially Signed | One party has signed |
| Completed | Fully executed |
| Declined | One party declined to sign |
| Expired | Signature period elapsed |
Viewing Status
- Go to Agreements → Documents
- Find the agreement
- Status shown in the list view
- Click for detailed status
Reminder Notifications
Automatic Reminders
VerdictFlow sends reminders for unsigned agreements:
- 3 days after sending
- 7 days after sending
- 14 days (final reminder)
Manual Reminders
Send a reminder anytime:
- Open the agreement
- Click Send Reminder
- Notification sent to pending signer(s)
Canceling a Pending Agreement
If you need to cancel:
- Open the agreement
- Click Cancel Agreement
- Provide a reason (optional)
- Confirm cancellation
The other party is notified of the cancellation.
Resending an Agreement
If the recipient didn't receive the notification:
- Open the agreement
- Click Resend
- Update email if needed
- Send again
Agreement Expiration
Default Expiration
Agreements expire if not signed within 30 days.
What Happens on Expiration
- Status changes to Expired
- Both parties notified
- Agreement can be regenerated if needed
Extending Expiration
Contact support if you need to extend the signing period for an existing agreement.
Completed Agreements
What Happens
When both parties sign:
- Status changes to Completed
- Signed PDF generated
- Both parties receive copy by email
- Document stored in VerdictFlow
Accessing Signed Agreements
- Go to Agreements → Documents
- Filter by Completed status
- Click to view
- Download PDF as needed
Document Contents
The signed PDF includes:
- Full agreement text
- Both signatures with timestamps
- Unique document ID
- Audit trail (who signed, when, IP address)
Troubleshooting
Signer Didn't Receive Email
- Check spam folder
- Verify email address
- Resend the agreement
- Contact support if persists
Wrong Signer Listed
- Cancel the agreement
- Regenerate with correct signer info
- Resend
Need to Make Changes After Sending
- Cancel the current agreement
- Edit the agreement content
- Resend with changes
Technical Issues with Signing
Recommend the signer:
- Use a modern browser (Chrome, Firefox, Edge)
- Clear browser cache
- Disable ad blockers
- Try incognito/private mode
Best Practices
- Review before sending - Always preview the full agreement
- Verify contacts - Ensure signer emails are correct
- Follow up - If unsigned after a week, reach out directly
- Keep records - Download signed copies for your files
