Receiving Referrals
Learn how to manage incoming referrals from partner firms.
When a partner firm sends you a referral, VerdictFlow helps you evaluate it quickly and respond professionally. ## Receiving a Referral ### Notification When a referral arrives, you receive: - Email notification with referral summary - In-app notification (bell icon in header) - Dashboard alert highlighting new referrals ### Viewing the Referral 1. Click the notification or go to Referrals → Received 2. Click on the new referral to open details 3. Review all provided information ## Referral Information Each referral includes: ### Lead Details - Contact name and information - Case type and description - Incident date (if provided) - Location/jurisdiction ### Referring Firm - Firm name and contact - Referral notes/reason - Their VerdictFlow profile (if connected) ### Fee Sharing Terms - Proposed fee percentage - Whether fee sharing is expected - Any special terms noted ## Responding to a Referral ### Accepting a Referral 1. Click Accept on the referral 2. Add optional response notes 3. Confirm acceptance When you accept: - Referring firm is notified immediately - Lead is created in your system - Fee sharing agreement workflow begins (if applicable) - Referral status changes to Accepted ### Declining a Referral 1. Click Decline on the referral 2. Select a reason (optional but recommended): - Not our practice area - Conflict of interest - Capacity issues - Geographic limitations - Other 3. Add additional notes (optional) 4. Confirm decline When you decline: - Referring firm is notified with your reason - They can refer elsewhere - Referral status changes to Declined ### Requesting More Information If you need more details before deciding: 1. Click Request Info 2. Specify what additional information you need 3. Send the request The referring firm receives your request and can provide more details. ## After Accepting ### Lead Created The referral becomes a lead in your system: - All referral information transferred - Lead status set to New - Referral source marked automatically - Linked to the original referral record ### Next Steps 1. Contact the client - Reach out promptly 2. Sign fee agreement - Complete the e-signature workflow 3. Update status - Keep the referral status current ### Updating Referral Status As you work the case, update the status: | Status | When to Use | |--------|-------------| | Accepted | Just accepted the referral | | In Progress | Working the case | | Retained | Client signed with your firm | | Completed | Case resolved | | Fee Paid | Fee share paid to referring firm | ## Fee Sharing Workflow If fee sharing is enabled: ### 1. Agreement Generation After acceptance, VerdictFlow generates a fee sharing agreement based on: - Your template (or the referring firm's) - The agreed fee percentage - Lead and firm details ### 2. Review and Sign 1. Review the generated agreement 2. Request changes if needed 3. E-sign the document 4. Both parties receive signed copies

Settlement/verdict amounts - Fee calculation - Payment status See Fee Sharing Agreements for complete details. ## Managing Received Referrals ### Filtering In the Received Referrals list: - Filter by status (Pending, Accepted, etc.) - Filter by referring firm - Filter by date range - Filter by case type ### Response Expectations Best practices for response times: - Acknowledge within 24 hours - Accept/Decline within 48-72 hours - Contact client within 24 hours of accepting Prompt responses build strong referral relationships. ## Communication ### With the Referring Firm Keep them informed: - Acknowledge receipt - Update on client contact - Share case milestones (if appropriate) - Communicate about fee payment ### Logging Communications All referral communications are logged: - In the referral detail page - On the lead activity timeline - For future reference ## Declining Gracefully When you can't accept a referral: ### Do - Respond promptly - Give a clear reason - Suggest alternatives if possible - Thank them for thinking of you
Don't - Ignore the referral - Wait too long to respond - Provide vague

- Check spam/junk folders 2. Verify notification settings in VerdictFlow 3. Check the Received Referrals list directly 4. Contact VerdictFlow support ### Can't Accept Referral 1. Ensure you have proper permissions 2. Check if referral is still pending 3. Contact your team admin ### Fee Terms Don't Match Discussion
